Create a Service Record

Use Add service record to track vehicle service type, status, dates, mileage, cost, workshop provider, attachment URL, and notes.

Open Maintenance from the Company Manager area to create service history for a vehicle.

Before you start

A vehicle must exist in Fleet before it can receive a maintenance record. If there are no vehicles, the form shows Add a car first and the Save service record button is disabled.

Add service record fields

  • Vehicle: selected from existing cars. The label can include make, model, year, plate, and car code.
  • Service type, e.g. Oil change, tires, inspection: the maintenance work being tracked.
  • Status: scheduled, in progress, completed, or cancelled.
  • Service date: defaults to today.
  • Next service date: optional follow-up date.
  • Mileage at service: mileage recorded during service, using the agency mileage and distance unit.
  • Next mileage: optional mileage checkpoint for the next service.
  • Cost: service cost.
  • Workshop or provider: supplier, mechanic, or service provider.
  • Attachment URL optional: link to a service invoice, document, or image when available.
  • Service notes: internal notes for the team.

Save the record

Select Save service record. New service records are added to the agency maintenance list.
